BioLabs is seeking to hire a Lab & Facilities Associate for a new premier co-working lab facility located in Philadelphia, PA. The Lab & Facilities Associate for BioLabs@CIC will employ a high level of autonomy in their work, think critically about problems within the context of multiple layers of complexity, and take the initiative to pursue new ideas. This is a hands-on position reporting directly to the Lab Manager, and will interact directly with clients. You should be a highly capable, self-directed individual who employs a high level of autonomy in your work. If you are the kind of person who not only enjoys problem solving but also likes collaborating with others on a daily basis, you would probably enjoy working here.

 

Responsibilities:

  • Assist in the maintenance and repair of laboratory equipment including daily tasks to ensure instruments are working properly, schedule preventative maintenance, troubleshoot routine issues.
  • Assist Lab Manager in maintaining and overseeing the general laboratory environment including cleanliness of the space.
  • Review and document information on building infrastructure, including issues with backup power, HVAC, and more. Familiarity with the facilities requirements of a lab will be critical.
  • Interface with service providers, engineers, and construction teams to maintain building infrastructure and oversee minor upgrades and repairs.
  • Understand and assist resident scientists with standard operating procedures for the start-up and shutdown of shared equipment.
  • Work with Lab Manager to maintain inventory stock levels of consumables, critical reagents, and supplies essential to the operation of the laboratory. 
  • Work with Lab Manager and EHS consultants to manage liquid and solid waste pickups and proper storage of chemical and biohazard waste.
  • Assist BioLabs team and clients with special projects as needed.
  • Serve as “first responder” in case of off-hours failure of critical equipment.

Requirements:

  • College degree in a scientific field and/or 2+ years of on-the-ground lab facilities experience preferred
  • Deep understanding of building infrastructure issues and the unique infrastructure demands of a laboratory
  • Outstanding organizational skills and ability to prioritize multiple tasks and/or projects
  • Knowledge of MS Office (Excel, Outlook, PowerPoint)
  • Must be able to lift over 50 pounds and be able to be on your feet for multiple hours at a time

Compensation/Benefits:

  • Salary commensurate with experience and qualifications

Work is performed during regular work hours but will require evening and/or weekend hours to support resident activities and events, and in unusual cases, may require rapid weekend or evening response in the case of failure of critical monitored equipment. Facilities & IT Manager

We are looking for a highly motivated and innovative candidate for the role of Facilities & IT Manager. Reporting to the Director of Operations, this individual will work well with both a team and independently, and have exemplary organizational skills with the ability to multi-task and respond to rapidly changing priorities. This is a hands-on position with opportunity for growth.

Goals & Objectives:

  • Work with the facilities organization to effectively act as a liaison with lab users to manage and oversee office and lab functionality and future planning
  • Oversee the IT infrastructure, software and systems necessary for business and facilities operations
  • Develop, implement and monitor plans and procedures to ensure security of the staff, facilities, and equipment against hazards
  • Maintain equipment as appropriate: manages service contracts and carries out routine maintenance. Handles all troubleshooting for equipment failures and coordinates with relevant vendors accordingly.
  • Provide superior customer service to residents and be an advocate for the services of BioLabs

Duties & Responsibilities:

Facilities

  • Oversee essential services delivered to office and lab community including: utilities delivery & monitoring, HVAC servicing, security and janitorial
  • Perform and manage equipment preventative maintenance program and troubleshoot problems
  • Regularly liaise with NYU Langone Real Estate Development + Facilities to promote communication and relationship building for general/detail aspects of the facility
  • Responsible for maintaining general upkeep of lab and office to maximize functionality and appearance of the space
  • Oversee resident turnover including the on and offboarding of the physical private offices and private lab suites
  • Create, implement and enforce standard operating procedures and lab protocols and introduce new ways to help facility function more efficiently
  • Assist with managing and maintaining facility functions including the setup and breakdown of large meetings and events and associated coordination efforts
  • Perform daily walkthroughs to ensure optimal functionality and cleanliness of facility, including the monitoring of key equipment such as freezers and cold rooms

IT

Configuration and deployment of desktops and laptops including hardware and software configuration for the BioLabs team

  • Assist with conference equipment including video and audio
  • Coordinate with vendors for hardware repairs for printers, laptops and desktops
  • Lead efforts to improve IT processes and create and maintain vendor relationships to support IT needs
  • Serve as primary responder for company IT emergencies

Qualifications:

  • Bachelor’s degree and/or 5-7 years of experience in facilities and IT management
  • Familiarity with HVAC, plumbing, electrical, pH neutralization systems, RODI water systems and general building knowledge
  • IT know-how with networking and remote desktop services experience a plus
  • Good understanding of computer systems, mobile devices and other tech products
  • 24/7 availability to respond and attend to onsite emergencies
  • Working knowledge of Microsoft Word, Excel and Outlook
  • Outstanding organizational skills and ability to multi-task

Responsibilities:

  • Manage and oversee the general laboratory environment including cleanliness of the space
  • Support resident scientists with equipment and software training
  • Manage and oversee the maintenance and repair of laboratory equipment including daily tasks to ensure instruments are working properly, schedule preventative maintenance, troubleshoot routine issues
  • Maintenance of the laboratory computer infrastructure with headquarters IT support
  • Develop standard operating procedures for the start-up and shutdown of shared equipment
  • Lead for management of alarm systems including restoration resets and checks
  • Manage and oversee the inventory management control program
  • Establish and maintain relationships with vendor representatives
